Supplier and Partners data protection policy

We are updating our accounting system and as part of this reviewing all our customer, supplier and partnership agreements and updating our data protection policy. In the interim please be advised of the following. 

The following applies to The Channel Islands Co-operative Society and the following associated companies who are Data Controllers

  • Offshore Leisure Limited, which is registered as a company in Jersey under Number 77830 and has its registered office in the Island of Jersey;
  • Mallett & Son Limited, which is registered as a company in Guernsey under Number 619 and has its registered office in the Island of Guernsey;
  • JFTU (Property) Limited, which is registered as a company in Jersey under Number 101370 and has its registered office in the Island of Jersey.
  • Jersey Pharmacy Services Limited, which is registered in Jersey under Number 89296 and has its registered office in Jersey

 

Jersey Pharmacy Services Limited has two subsidiaries:

  • Edgar Holdings Limited, a company registered in Jersey under Number 48212
  • Lloyds (Chemists) Limited, a company registered in Guernsey under Number 1125

Data We Hold

As part of our relationship with customers, suppliers and partners we hold operational information relating to our products and services, including some personal information relevant to Agreements, Contracts, Invoices, Statements, Purchase Orders and Remittances etc. This data is held on the basis of legitimate pursuit of our products, services and operations, and in accordance to any legal contract or agreement we may hold with you.

Data We Share 

We do share information with customers, suppliers and partners, but only in-so-far-as it is necessary for us to be able to operate and provide services, we can provide details upon request.

Data Processing

Unless as otherwise stated in a contract or agreement The Channel Islands Co-operative Society will be the “controller” and the supplier/partner will be the “processor” for any data that is shared, and “processor” must comply with the contract or agreement in keeping with Data Protection Laws in Jersey and Guernsey the processor must only act on the written instructions of the controller

  • the processor must ensure duty of confidence;
  • the processor must ensure the security of processing;
  • the processor must only engage a sub-processor with the prior consent of the data controller
  • the processor must assist on subject access, breaches & DPIAs
  • the processor must delete or return all personal data
  • the processor must submit to audits and inspections

Data Retention

We operate a records retention policy (available upon request) which set out the schedule for the deletion, archive, return of documents at the point of their expire and in accordance with the policy and processes outlined in the records retention policy. Information will be stored for only as long as it is needed or required by statute, legislation or regulation and will be disposed of appropriately.

Security

Personal Information and records relating to products, services, suppliers and partners will be stored securely and will only be accessible to authorised personnel.

Data Transfers

Generally data is not transferred outside the EU, except through the use of applications like Microsoft. GDPR is a key consideration when selecting applications and service providers and we seek those that confirm that they will keep data private, safe and secure by reference to ISO27001, CyberEssentials or other similar standards.

Data Protection Rights

We will respect Data Protection Rights. Under the GDPR, individuals will have a number of rights which are summarised

  • The right to be informed
  • The right of access
  • The right to rectification
  • The right to erasure
  • The right to restrict processing
  • The right to data portability
  • The right to object
  • Rights in relation to automated decision making and profiling.
